Daily Records

One of the first records and reports that you will most likely, frequently work with, is the Daily Records. This is why we've made it simple and easy to use!


To start a new Daily Record, head over the Dashboard and click on the "Create a Daily Record" link. Alternatively, choose "Daily Record", followed by "All Reports" in the main menu. This is also where you'll be able to see historical records, edit, print, or view them:



To start a new Daily Record from this screen, simply click on the button at the top of the screen. If you'd like to change or view previous Daily Records, simply click on the "Menu Icon" on the right of the Daily Record.


Once you've opened a new or previous Daily Record, you will see a screen similar to this:



Here you'll find some details on who created the record and when, as well as some other basic details. You'll also be able to now perform the following tasks:


Updating Door Counters


The Door Counters work on a simple "persons in, persons out" model. This means that you'll simply put the amount of people that have entered the venue (through any of the entrances), in the "+" field, and the total amount of people that have exited the venue in the "-" field. When you press Save, the portal will subtract the 2 values from eachother (showing the amount of people left in the venue), and save the values together with the time at which it was updated.


Updating Toilet Check Times


The portal also allows you to keep a record of all of the times that you've checked the toilets, to keep up with your compliancy. To add a time to the history of the operating day, simply choose the time that you've last checked the toilets, and press save. If you've checked the toilets in the last few minutes, click on "Checked Now", and we'll automatically add the current date and time.


Adding Notes and Comments


You can add notes and comments, which will be visible to you and your teammates, whenever you open a Daily Record, im the "Notes" section of the page.


Navigating to other types of related records


You can quickly add Incidents, view incidents related to this Daily Record, or do the same for Refusals and Ejections, by clicking on the buttons in the fourth widget. For more information on these records, please visit their relevant articles.


Setting Up Door Supervisors


To set up Door Supervisors, expand the block, by clicking on the "Door Supervisors" title. You can now enter the amount of supervisors that will be working on the day and press the "Set" button to display the correct amount of Supervisor Detail rows. You can now enter the Name and Surname, Badge Number, Badge Expiry and Shift Start and End Times for each supervisor. Once you've saved the Daily Record, the added supervisors will be added to the HR database, if they do not exist there already. They will however not be able to log into the portal, unless you return to the HR page, and set them up to be able to do so. 


Supervisors that are already in the HR database will also be available in the "Door Supervisor Name" dropdown, when creating future Daily Records.


Doing Pre-Opening Checks


The pre-open checks can be done by answering each question in the section labeled "Pre-Open Checks". Simply indicate whether an item is checked and in order, choosing the Yes or No options under each question. You can also choose the N/A option, if a check is not applicable to your venue.



Update The Manager's Summary


The Manager's Summary contains a variety of indicators that a manager or supervisor can use to quickly see any events that may require follow-up or attention. Next to a note or event, you can click on the red "N(o)" indicator, to change it to a checkmark. You can also indicate whether an Incident Report was filed for the event and insert any details that may be related to the incident(s). 


Additional ODR Checks

Does your venue have additional checks that need to be completed daily, that are not listed on the ODR? Like closing the blinds or ensuring that fridges are locked?


You can now add these checks on the Venue Setup page!



Once it has been added here and saved, these checks will  now appear on the One Day Record, under a new section called "Additional Checks":
